Overview: Use this screen to find records by automatically searching the many fields of key function areas. This is a huge time saver since, for example, the synonyms area has 150 fields. Normally, you would need to search all of them. Here, enter once and search them all.

• Enter the exact search parameter as a partial word, whole word or phrase in the space ***led “Enter Word To Find”. To find an exact match, enter an equals sign (“=”) in front of the word or phrase to search for.

• Chose the section to be searched by clicking on one of the rectangular red ****ons (Search Caption, Search Keywords, Search Comments, Search Synonyms, Search Proper Names).

Note that native Filemaker menu commands have additional, powerful search options, such as the ability to further refine a found set of records by selecting “Constrain Found Set” from the Requests pull down menu at the top of the page when in the Find mode for a second request. This function may not work in conjunction with the scripted actions of Keyword Compiler. Instead, use it in the usual find screen to constrain a found set further.

After using this find mode or the find ****on on every page to find a set of records to work on - Once you are happy with the found set - Then, click on the “multiply” sub tab under the “BULK” main tab.

Near the top of the page are several underlined word sequences. Each triggers a scripted action to perform automated tasks as follows:

• Find - Initiates the process to find records in order to limit the found set for export, alteration or export.
• Find All - The quickest way to return to the entire set of records, not just the limited found set.
• Print - To print this particular page. (Be careful in selecting one record or all records when printing.)

Tip: For licensees to effectively use the automate keywording functions, you must first master the Find process to accurately limit the records in the current found set to only those to which you want to add words.

Overview: You’ll love this one. Another tremendously powerful function. Use this function to change any word or phrase. Correct misspellings or grammar all at once with one action. Or, change words as meanings clarify over time.

• Step - Enter a word or phrase into the “Enter Word To Find And Remove” box. Then, enter the replacement word or phrase in the box labeled “Enter Replacement Word“.

Tip: You are looking for an exact match. It can be very helpful to include punctuation. For example, include the period at the end of the sentence. This helps to refine the target that you will replace. Remember, if a word appears twice in a caption, it will replace them both.

• Step - Choose the function section to find and replace. Click on the yellow down arrow ****on to initiate the action of replacing that phrase in that section of ALL the records of the current found set of records. Choose from “Replace In Proper Names”, “Replace In Synonyms”, “Replace In Keywords”, or “Replace In English Final”.

Remember to spell correctly!

Help - HOW TO Import From Older Version Of KeywordCompiler


Beginning in version 4.0, importing from one version to another of Keyword Compiler now requires the intermediary step of first exporting the desired records as a "Full Backup".

This process most likely will be done when updating all of your legacy data from an older version of Keyword Compiler to a newer version. But, it also applies to any restoration of data from back up files, or if you'd like to bring together various sets of keywords into one file to work on.

There are two stages - export from the source file and import into the destination file. Follow these steps:

Export from the source file

1) Open the file from which you want to export records. (This is most likely named "KeywordCompiler.USR". But, you will need to first open the software engine which is probably named "KeywordCompilerSolution" or similar).

2) Click on the yellow "KEYWORD" tab, then on the yellow "export" sub tab.

3) From the pulldown menu in the yellow box that is ***led "Select Export/Import Sequence", select "Create Full Backup". Then click the golden action arrow where it says in red "Export/Import".

Option: You may choose other export scripts. For example, selecting "Customized Export" from the pulldown. And, be sure to "Clear All" fields from the right side panel named "Field Order" and then click the "Move All" ****on. This ensures that you are exporting data all the fields. Using "Customized Export" also allows you to find a specific set of records to export, as opposed to "Create Full Backup" which will automatically export all records.

4) A pop up advisery will be display. Read it and click OK. It says, "You are exporting all records as a full back up to a file called 'Compiler Backup'. The file will be saved in the same folder as Keyword Compiler. You should date the back up."

5) Open the new Keyword Compiler. (It's probably open now since you're reading this.) Go to the "Original" section which is labeled "advanced" in red on the opening options screen.

6) Click on the yellow "KEYWORD" tab, then on the yellow "export" sub tab.

7) From the pulldown menu in the yellow box that is ***led "Select Export/Import Sequence", select "Import From Older Version Of KeywordCompiler". Then click the golden action arrow where it says in red "Export/Import".

Tip: Pop up guide windows will help walk you through the process. Because the import process uses the functions of the Filemaker Pro program, certain things must be done to get it right.

8) Select the "Import" ****on in the guide pop up. It will look for a file named "Compiler Backup". If it cannot find this file, a menu will appear for you to find it. Select Show: "Filemaker Pro Files" in the pulldown on the bottom left. Locate and open the file.

9) The import window will now display with the "from" fields on the left and the "to" fields on the right. This maps exactly which fields import into which fields for all the records in the found set. There will probably be more fields on the right (new fields in the newer version) than on the left. Select View by: "matching names" in the upper right of the window.

Import options in the lower left of the window enable you to add, revise or replace exiting records. If you know these are new, select the radio ****on that says "Add new records". You probably will NEVER "Replace data in the current found set". The last option allows you to update the records. To do this, change the Filename icon between the left and right panels from a black arrow to a "Match fields" icon (a double arrow). This make it the key field for update. (Note that the file names must be unique in each file.) Select the radio ****on that says "Update matching records in the current found set". If you want to add new records in addition to updating existing ones, also check the box that says "Add remaining records".

Tip: You may want to backup and delete all records first before importing new ones to avoid duplicates. You can work on sets of records, then purge your main work file and start on the next project.

Have you made a back up of this file before importing? If not, click "cancel" and back up the file. Or, click the "import" ****on. When asked, select Import Options: "Perform auto enter".

If you backed up before hand, you can always delete it all and start over if you don't get it exactly right. It is a tricky process.

This gathers all the keywords, proper names and user credits into one field for export or to copy and paste into IPTC/File Info. (Note, you can turn off this pop up help in the opening screen).

This will add the keyword or phrase entered to Proper Names field of ALL of the records in this found set. Perfect for adding a forgotten word that's not in KeywordSource thesaurus to an entire shoot or general keywording in bulk.

Quick Tip - Add To Comments in ALL Records

This adds the word(s) or sentence from the text box named "Enter Caption To Comments" into all the comments field of all records. It adds the date also, making it an excellent way to track project completion at each stage.


Quick Tip - Add To Captions In ALL Records

This adds the word(s) or sentence from the text box named "Enter Caption To Add" into all captions of all records of the current found set. , following what is already in this field.


Quick Tip - Loop Add Keywords to ALL Records (first 20 words only)

At this stage, it now pastes the first 20 keywords from a temporary holding area into the first 20 available keyword fields in all records of the current found set.


Quick Tip - - Set The Global Keyword Fields (first 20 only)

This copies the first 20 keywords into a temporary holding area for scripted use.


Quick Tip - Clear Keywords

This clears all the keywords from this record. You'll be removing them all and starting over to add new keywords for this one record.


Quick Tip - Remove Words From Master Set For Global Keyword Additions

This clears (removes) the words from the Master List, which is used as a holding place for these 20 words to then repopulate other records with.


Quick Tip - Find in Proper Names

Using the word (or phrase) in the text box named "Enter Word To Find", this will search all 10 PROPER NAMES fields to display those that contain the word. It will search for whole words that match.
